If you are a business owner in any of the the trades (contractors, plumbers, electricians, HVAC, landscapers/tree removal, handyman services, etc) we can give you the office support that your business needs, so you can focus more on work quality and business success.
Phone Answering and Scheduling
Don’t miss another phone call! We will answer your phones in a professional, friendly and caring manner. Using your calendar, we will schedule appointments for estimates, installs, repairs, and anything else. We also keep track of the travel distances between jobs so you and your crew won’t be backtracking every day, putting on unnecessary miles and expenses.
Existing and Previous Customers
If we can access your database or CRM, we can update their contact information when they call and obtain their job history with you. We can help with simple billing issues or provide them with project updates.
Depending on your needs, we can engage new customers who are calling with inquiries about your services. We can obtain their contact info in a non-pushy manner, find out how they located your service (to help evaluate the effectiveness of your marketing), and schedule a time for an estimate.
We all know that when a person has an emergency, they will keep calling until someone answers who can help them – and that should be you! If your Daybreak team is answering the phones, we’ll get the pertinent information and find out from you if you’re available or interested in responding. If you are available, we’ll patch the call through to you. If you’re not, we can refer them to another service that you recommend. Either way our interaction will stop the calling cycle and make you look good!
If you are available for off-hour emergency calls we can arrange for after-hour emergency calls to go directly to your cell, or whatever number you wish, so you can respond to the need.
Customer Service and Follow-up
If you’re running late for a job, your team can contact the next customer to keep them in the loop so they don’t get upset waiting for you. Then, imagine the great impression your customers will have when they receive one or more “non-sales” follow-up calls to make sure they are satisfied with the work you did. Just that bit of extra customer service will elevate you above most of your competition.
Suppose you’re on a job and need a tool or some piece of equipment. Call your team with what you need and they’ll call ahead to the supply company you use so you can pick it up, saving you a lot of valuable time when you’re in the middle of a job.
Your customer lists, pricing structures and other proprietary content are often what sets you apart from your competition. Therefore, maintaining strict confidentiality with your information is of the utmost importance. To that end, our infrastructure is secure and we maintain confidentiality agreements with our employees, clients and vendors. Your information will be safe with us.
Let us maximize your time and increase your profitability while improving the level of customer service you’re providing!

My systems are sufficient; I rarely miss a call or an opportunity.
My customer service is fine. I get lots of repeat business and a steady stream of referrals.
I’m very organized. I have systems in place to remind me in advance of impending deadlines and I rarely miss them.
I have no billing issues. All work is paid COD and/or I have a solid system to track delinquent accounts.
I have a marketing plan that I follow to the letter. Every lead is followed up on a specific schedule which I closely adhere to.
I adhere to my calendar religiously. I block off time for strategic planning and no one is permitted to disturb me during these times.
My business size is fine. It’s exactly where I want it to be to attract the most profitable customers.
Routine paperwork is not a problem. I have systems in place to handle it, and I actually enjoy paperwork.
It’s been said that a business should SUPPORT your lifestyle, not BECOME your lifestyle. Where do you fit?
All of my processes are well documented and readily available so that anyone who needs to take action in my absence can do so. In other words, my business is close to being “franchise-ready.”
I either have no workers or scheduling issues, or I have a system in place whereby my workers know exactly where they should be and what I expect.
I’ve avoided hiring support staff for fear of not being able to afford them, yet I never seem to grow. It’s been a couple of years and I just keep spinning my wheels and getting nowhere – and I’m getting frustrated.
I’m sure I could benefit from a virtual administrative assistant who could perform their responsibilities professionally, timely, and according to my company’s standards. The idea of having someone who could ‘watch my back’ is very appealing.
